Regional Executive, Project and Program Manager

Detailed Responsibilities & Activities

General Responsibilities

With respect to project and program management:

  1. End-to-end execution planning and management, ensuring delivery of the project goals and value for money of the expenditure.

  2. Ensuring that client requirements and objectives are achieved.

  3. Striving for absolute client satisfaction.

  4. Ensuring the integration of design, development, construction delivery, commissioning and process requirements is achieved using the subject matter experts in the company and project teams.

  5. Controlling and facilitating interaction of project stakeholders such as the client, community participants, the design team, subcontractors and specialist sub consultants.

  6. Managing the budgets and other project resources as the projects progresses.

  7. Ensuring that all stakeholders remain adequately informed of progress and changes.

With respect to the leading the regional business unit:

  1. Maintaining critical processes and systems that support the achievement of the business’s mission in the regional office.

  2. Ensuring and improving the performance, productivity, efficiency and profitability of the regional office.

  3. Developing annual budgets for the regional business unit, monitoring and reporting on progress.

Project & Program Management

  1. Ensuring that the project managers create and execute project management plans and revise as appropriate to meet changing needs and requirements. Aligning stakeholders and team members to the plan and managing execution of tasks to achieve project or program goals.

  2. Planning the skill requirements for the projects and programs - collaborating with the project teams to manage and motivate them.

  3. Identifying resources needed and assigns individual responsibilities.

  4. Managing staff and managers in accordance with organisations policies and applicable regulations.

  5. Planning, assigning, and directing work; appraising performance and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems.

  6. Proactively monitoring the projects health & safety processes as well as the team's culture and behaviours.

  7. Where appropriate, assist customers to identify project requirements, define project scopes and ensure that requirements and scope are clearly communicated to all team members.

  8. Managing changes to project scope, schedule and costs and ensuring project plans are reflective of authorised changes as defined in the change management plan.

  9. Managing projects and programs from conception to completion, ensuring delivery in accordance with budget, timeline and required quality standards to meet client expectations.

  10. Measuring project performance and progress using appropriate tools and techniques, identifying and quantifying variances, performing required corrective actions, and communicating to all stakeholders.

  11. Managing the project budget, working closely with the finance team to oversee and report project financials – including estimates created during the funding/change request process, the on-going allocation of financial resources, and the regular reporting of the state of the project financials.

  12. Reviewing deliverables prior to release to clients.

  13. Ensuring quality assurance procedures are adhered to.

  14. Driving process improvement initiatives within the project management domain. Capturing lessons learned throughout and during the closing of a project.

  15. Ensuring lessons learned are incorporated into quality management procedures where appropriate.

  16. Identifying risks, assumptions, and constraints. Developing and tracking risk mitigation and issue resolution plans, recommending and implementing approved actions and workarounds required to mitigate or minimise project, program and commercial risks.

  17. Overseeing ongoing client satisfaction with the project, especially in terms of cost, scope and timescales.

  18. Interfacing independently with all functional and business areas/divisions affected by the project, including senior and/or executive management.

Business development and management

  1. Developing standard processes to ensure that staff has the proper materials, systems access and training to complete job responsibilities.

  2. Overseeing the execution of the training plans and mentored training experiences for the region.

  3. Acting as a coach and mentor for project managers.

  4. Work collaboratively with customers and other functional leadership to manage customer related challenges to achieve exemplary customer service.

  5. Providing overall strategic focus for customers by working in association with them to reach planned and agreed partnership policies that fully optimise the synergies of the relationship.

  6. Driving account development, managing customer relationships to strengthen relationships with existing clients.

  7. Developing new business opportunities with existing and new clients.

  8. Monitor public bid opportunities, prepare bid submissions, prepare and deliver presentations, conduct contract negotiations and ensure compliance with all bid and legal requirements.

  9. Generating prospects, engaging with prospects, identifying customer needs, preparing and delivering presentations, negotiating and concluding contracts.

  10. Managing the financial performance of multiple varied projects, (e.g. achievement of financial targets, invoicing, cross charging, gap analysis, cost control, cash flow revenue and profitability), identifying and managing financial issues and providing regular feedback on the financial performance of projects, programs and the region as a whole.

  11. Projecting a professional impression of the Company and act in accordance with the relevant professional Codes of Practice.

  12. Assisting Marketing Manager with the preparation of project related marketing material. Plan and implement marketing strategies in alignment with overall organisational marketing strategies.

  13. Assist managing director to review service offering with regional focus.

  14. Prepare regional business plan in alignment with overall organisational business plans and strategies.

  15. Assisting in the development of organisational and strategic planning. Assisting with implementing operational plans in the region. Contributing to short and long-term organisational planning and strategy as a member of the management team. Reporting back on progress of regional initiatives.
